Configure Microsoft Authenticator (MFA)

What You’ll Need

  • An iPhone or Android device with internet access

  • Your work or school email (Microsoft 365 account)

  • Your account password

  • Access to the sign-in prompt or QR code (often shown on a computer)


Step 1: Install the App

  1. Open the App Store or Play Store

  2. Search for Microsoft Authenticator

  3. Install the app


Tip: There are many authenticator apps, including un-trustworthy ones.  Look specifically for this icon:


Step 2: Open Authenticator & Allow Permissions

  1. Open Microsoft Authenticator

  2. Tap Continue

  3. Allow:

    • Notifications (required for approvals)

    • Camera access (needed to scan QR codes)


Step 3: Add Your Account

  1. In the app, tap + (top-right)

  2. Choose Work or school account

  3. Select Scan a QR code


Step 4: Scan the QR Code

The account will be added automatically.


Step 5: Test the Setup

  • Microsoft will prompt you to approve a test sign-in

  • Tap Approve in the app

You’re all set ✅


If You Don’t Have a QR Code

  1. In Authenticator, choose Sign in instead

  2. Enter your email and password

  3. Follow the prompts to complete setup


Important Tips

  • Notifications must stay enabled, or sign-ins will fail

  • Keep at least one backup method (SMS or phone call) if allowed

  • If you get a new phone, Authenticator must be reconfigured
